Policies and Procedures
Koinonia Family Group Policies and Procedures (Exhibit 2)
Parent/Family Policies
All teachers must profess faith in Jesus Christ for salvation, must be a follower of Jesus Christ,
and must uphold and adhere to the Koinonia Family Group Statement of Faith.
We expect everyone, both children and adults to demonstrate respect and a spirit of cooperation with everyone else in the co-op.
Everyone should be on time for co-op. Please note that group time in the sanctuary is scheduled to start at 9:00 am. Please plan to arrive at least 10 minutes before.
If you cannot fulfill your commitment one week, it is your responsibility to contact the General Manager. Classes taught in tandem with another mom will be held. Classes taught by one mom will be canceled and the day will be re-structured (i.e. longer class periods or early dismissal)
A parent or other responsible adult (guardian) must remain on site AT ALL TIMES. If a parent can’t attend one Friday and she wants her children to attend, she must find a replacement or arrange with another co-op member to stay with her children the entire time. This can be another parent. This person is responsible to be present when the children arrive and should stay until dismissal. This person will also be responsible should any emergencies arise.
Parents must be willing to adhere to and uphold the Discipline Procedures (see below).
All classrooms need to be tidy and in order before the next class begins. Building cleanliness and arrangement of property is to be maintained and left at least as good as it was found. Remember that we are guests in the building. If we don’t adhere to these guidelines and conduct ourselves appropriately, we may not be invited back.
No food or drink except water is allowed in the Sanctuary at any time.
All families will share in the responsibility of keeping whatever rooms were used tidy. Classrooms as well as the lunch area will be set up, taken down and tidied with the assistance of the students.
Checking to make sure that the building is in good order at the end of the class day will be the shared responsibility of the moms to be designated/recorded by the General Manager and agreed upon by the Voting Members. A schedule will be made at the beginning of the academic year (?) Responsibilities include:
Checking that the bathrooms are neat and papers are replenished.
Garbage receptacles are emptied of large volumes of trash.
Floors are cleaned of obvious debris.
Hot water shut OFF in kitchen and stove is checked to be sure all burners/ovens are OFF.
All lights shut off.
All families who are participating in the family fellowship events are required to help with these events. Scheduling location may be designated to an appointed coordinator by the General Manager.
The lead teacher, denoted in the class schedule as the first person on the list, will schedule a meeting with the appropriate group/team to plan for the upcoming year to decide on each of the team members responsibilities.
Parents should ensure their children wear clothing conducive to a healthy, learning environment which is modest and without any offensive language. If there is ever a question in the mind of a student or parent about the appropriateness of an outfit, it should not be worn.
Everyone should keep their commitments. Examples include arriving on time, teaching, assisting, building cleaning, etc. We strongly encourage members to keep co-op hours free of outside commitments that take a parent and or students away from commitments as well as precious fellowship time.
Student Policies
“Let no one despise your youth, but be an example to the believers in word, in conduct, in love, in spirit, in faith, in purity.” 1 Timothy 4:12
Behavior
Be respectful and courteous to all adults as well as to fellow students. Language should always be God-honoring, completely free from any hint of cursing, rudeness, or disrespect. Students should refrain from obscene language such as: taking the name of the Lord in vain, suggestive talk, rude comments, “smart talk”, or mean-spirited teasing.
Students are to be reminded that they represent the Lord Jesus Christ in the manner of the dress they choose. NO t-shirts with questionable imprinting will be permitted. Shorts and skirts are to be conservative. If there is ever a question in the mind of a student or parent about the appropriateness of an outfit, it should not be worn. Let’s honor one another and not cause our brother or sister to stumble.
Be on time, be prepared and be willing to participate in all classes for which you are enrolled. Please remember the class instructor has made a commitment and has spent time preparing for each student.
Be quiet in the halls between classes—absolutely no yelling or running.
NO public displays of affection between boys and girls.
All electronic equipment including cell phones must be turned off and put away during class time. Cell phone and toy use during non-teaching times is at the discretion of the Voting Members.
Show respect for the building and church property.
Be responsible for your personal belongings and helpful to moms upon arrival and departure from co-op.
No children under 18 are allowed anywhere in the building without immediate observing adult supervision, especially the loft, the nursery, classrooms or lobby.
Academic Responsibilities
Students should be prepared for class. This includes having required resources (i.e. paper, writing instrument, music, gym participation gear or equipment, homework or any other items or resources necessary to actively participate in class)
Students should be prepared to stay in class for the entire session. Leaving class to blow one’s nose, use the bathroom, retrieve items left elsewhere or any other reason is disruptive and should be reserved for emergencies.
Students are expected to prepare for and participate respectfully in class. Expectations and requirements will be outlined by the teacher.
Discipline Procedures
Correction for misbehavior (disrespectful to their teachers and classmates, in word or deed, such as blatant disrespect, cursing, fighting, dishonesty, striking in anger, etc.) is a Biblical concept, and a part of any instruction and learning. No Koinonia Family Group student member will receive any type of corporal punishment. It is not our desire to be harsh, but we want to ensure an environment that is conducive to academic growth for all the students.
We recognize that our co-op exists on the good will of all of the families who participate, and it is only fair that no one student be allowed to create an atmosphere that detracts from our children’s ability to learn and form lasting friendships. It is for this reason that the Discipline Coordinator in tandem with the General Manager retains the right to take any reasonable disciplinary action to maintain an environment conducive to learning.
Situations pertaining to student unpreparedness for class (see Rules of Conduct / Student Academic Responsibilities) will result in consequences. Consequences will be discussed and mutually agreed upon between Teacher, Parent and Discipline Coordinator. Consequences may include but are not limited to: additional assignments, loss of privileges (i.e. favored classes/free time) and/or cleaning duties. Details will be recorded by Discipline Coordinator and reported to the General Manager.
If a disciplinary issue warranting immediate parental notification arises, any involved student(s) will be brought to the parent(s). The Discipline Coordinator will be notified or in attendance. The child will be able to return to class/co-op that day at the teacher’s discretion. The offense will be recorded by the Discipline Coordinator in a log-book for said purpose. The issue will be brought to the attention of the General Manager. If the offense constitutes as serious in nature, the Discipline Coordinator and the General Manager will be present to address the issue with the parent. If the offense occurs repeatedly, the parent will be asked to attend a special meeting of the Voting Members and if necessary, with fathers, to address critical issues. This is in order for parents to have control of and provide training for their children at co-op. In the most severe offenses, the Voting Members retain the authority to expel the student from the co-op. See By-Laws ARTICLE VIII, Section 2
Supervision Policy
No children under 18 are allowed anywhere in the building or on church property without immediate observing adult supervision, especially the loft, the nursery or classrooms.
Policy & Procedures NOTE
Since it is our desire for our group to function in unity in and outside of structured co-op time, any incident occurring in any other co-op function (field trip or scheduled event) will fall under the general behavior and discipline procedures. We always want our children to live worthy of their calling to honorably represent Christ and their families.
Registration Policy
A per family fee is required annually. Members are considered permanent until resignation or expulsion. Admittance to participate as a Member is outlined in the By-Laws by way of the Invitation Agreement. See By-Laws ARTICLE VI and ARTICLE VII
Refund Policy
There are no refunds.
Illness Policy
Anyone with the following symptoms should be symptom free for 24 hours prior to returning to co-op. If your child is on antibiotics it should be 24 hours since the first dose.
1. Fever (within the last twenty-four hours)
2. Colored mucus (yellow or green snotty nose)
3. Diarrhea, vomiting or nausea
4. Eye drainage
5. Virus or infection (known to be contagious)
6. Rashes of unknown origin (including bleeding diaper rashes)
7. Head lice
These standards exist for the protection of the children and families involved, so we can continue to provide the highest quality program for all children. Please be considerate of others regarding your child(ren) and illnesses.
Communication
Co-op members will be contacted via “Messenger” for day-to-day topics. Information warranting emails will be sent via e-mail, and Members will be notified in Messenger to please check email. Confirm receipt if requested. Members are responsible for reading all messages to learn important announcements related to the co-op. Be sure to scroll all pertinent conversation.
Inclement Weather Policy
Families will monitor weather conditions and report to one another using Messenger the night before predicted inclement weather and the morning of Co-op. A decision will be made by 8:00 am.
